NovaTaste is a leading international provider of taste and functional solutions for the food sector, providing a range of value-add savoury ingredients and blends, most notably under the Wiberg and Piasa brands.
Tailored solutions are used mainly by food manufacturers and food service players to improve texture and taste, as well as extend the shelf life of their savoury products.
The customer base is served by a global operational footprint of 17 plants in 10 countries, with 9 innovation sites and a total of c.1,800 FTEs. The main sites are located in Germany, Austria, Mexico and Canada.
About the Job
This role is in HR with dual responsibility. You will work closely with the senior executive team to provide high-level support and ensure the efficient execution of important company initiatives. Approximately 50% of responsibilities will be focusing in strategic HR projects, and the other 50% is required for executive team support & coordination tasks. This role requires a dynamic individual who can balance administrative tasks with project management responsibilities, while maintaining a high level of discretion, professionalism, and attention to detail.
Key Responsibilities:
HR Projects
- Support in rolling out the HR strategy; planning, executing, and overseeing key initiatives & projects with direct impact in the strategy, workplace & culture of the organization. Preparing agendas and tracking tasks pertaining to these initiatives.
- Support with implementation of a global HR Information system, helping with definition of processes, business requirements and related tasks.
- Support with talent sourcing and related coordination activities; schedule interviews, keep records, arrange follow-ups, etc.
- Support in implementation of key HR modules in a global HRIS/Success factor such as, performance management (PM), recruiting (TA) and learning management system LMS).
- Coordinate cross-functional teams, including external stakeholders and facilitate effective communication
Executive Support:
- As the Executive Assistant you look over the shoulder of the Executive team as a coordination point and are responsible for technical and admin content.
- You help with the development and preparation of topics, keep an eye on every detail conducting thorough research, and presenting results effectively (in Excel and PowerPoint, etc).
- You take care of interface management; you are responsible for minutes and tracking of tasks in important meetings, and you accompany international meetings and workshops, as necessary.
- Travel Coordination; arrange travel itineraries, accommodations, and logistics for business trips and managing all related expenses.
Communication and Coordination:
- Serve as the point of contact for internal and external stakeholders.
- Responsible for event planning and coordination; townhalls, off-sites, workshops, HR group meetings, and all related organizational communication.
- Handle general administrative tasks such as email management, filing, and data entry.
- Foster collaboration and maintain open lines of communication within the organization.
Qualifications:
- Proven experience as an Executive Assistant and/or HR Specialist/Assistant is desired.
- Experience in the services industry, hotel & gastronomy, conference & event planning is an asset.
- Excellent organizational, multitasking, and time-management skills.
- Extraordinary commitment and motivation.
- Strong written and verbal communication skills in English; German is an asset.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of discretion and professionalism.
- Excellent MS Office skills
Due to legal reasons, we are obliged to note that the minimum salary for this position according to the collective agreement is EUR 3,244.00 gross per month. The actual salary package is based on market-oriented salaries and is therefore significantly higher, depending on experience and qualifications.
